Role Description

Responsible for supporting and enhancing the client and team experience through the coordination of marketing initiatives, communications, branding, events, and operational support activities across the firm.

This individual serves as an internal liaison between advisors, team members, outsourced marketing partners, and vendors to ensure marketing and communication initiatives are executed accurately, professionally, and in alignment with the firm’s brand standards and client experience expectations.

Provides administrative, organizational, and project coordination support related to client communications, events, gifting programs, sponsorships, digital platforms, business development initiatives, and day-to-day operational and marketing needs. Assists in maintaining consistency across firm messaging, materials, and processes while helping ensure deadlines and deliverables are met.

This role works collaboratively with external marketing partners and internal leadership to coordinate projects, route requests, manage follow-through, and support implementation of strategic initiatives. Reports to the President & CEO.

In short, this person helps ensure that communication, branding, and client experience initiatives move smoothly from idea to execution while supporting the broader operational needs of the firm.

Operational Directives

About 80-85% of your job responsibility.

  • Coordinate marketing and communication requests between internal teams and external marketing partners
  • Assist with implementation and follow-through of marketing initiatives and campaigns
  • Coordinate blog posting schedules, social media promotions, newsletters, client memos, and other communications
  • Manage workflow timelines, approvals, and task follow-up for marketing-related projects
  • Maintain marketing calendars and communication schedules
  • Assist with event coordination, logistics, registrations, invitations, and follow-up communications
  • Coordinate gifting programs, promotional items, client appreciation initiatives, and team recognition efforts
  • Assist with website updates, online profile reviews, and content management requests
  • Coordinate production and ordering of business cards, branded materials, apparel, signage, and promotional items
  • Support the maintenance of email templates, signatures, forms, and communication consistency
  • Monitor and route inbound website inquiries and marketing-related requests
  • Assist with processing unsubscribes and maintaining communication distribution lists
  • Coordinate photography sessions, headshots, and branded visual assets when needed
  • Assist with sponsorship coordination and community engagement initiatives
  • Maintain organized digital files, vendor contacts, marketing assets, and project documentation
  • Collaborate with leadership and compliance teams to ensure communications follow internal review and approval processes
  • Provide support for internal team communications and operational coordination as needed
  • Serve as backup support for administrative and client experience functions when appropriate
  • Other duties as assigned

  • Help improve consistency and scalability of firm communications and marketing processes
  • Assist in documenting workflows and creating operational efficiencies between internal teams and external partners
  • Support the continued evolution of the firm’s client experience initiatives
  • Identify opportunities to streamline coordination, project tracking, and communication processes
  • Assist leadership in maintaining brand consistency across platforms and materials
  • Contribute ideas that improve team collaboration, operational efficiency, and client engagement

Career Development Initiatives

We strongly encourage career development.  So much so, that we will make available paid time off for the exclusive purpose of career development (this includes conferences, all-day CE meetings, classes to earn new credentials, take licensing exams, etc.) subject to mutual agreement and advance approval.  Some activities may be ineligible for reimbursement.  

  • Assigned annually to full-time employees based on independent development plan

To expand within the Marketing & Communications Coordinator role:

  • Marketing operations support – deepen involvement in campaign coordination, vendor management, workflow development, and communication systems
  • Brand management – assist in maintaining and evolving the firm’s visual identity, messaging standards, and client experience consistency
  • Event and engagement leadership – take increased ownership of client events, sponsorships, appreciation initiatives, and community outreach
  • Communications strategy – assist leadership with internal and external communication planning, execution, and process improvements
  • Operational coordination – support cross-functional initiatives that improve efficiency, accountability, and collaboration across the organization
