Between online banking, social media, utilities, insurance, and work systems, password management can easily become a daily frustration. For more than 10 years, I have relied on RoboForm to securely manage passwords for both my personal life and our business, Searcy Financial® Services. A Personal Lesson in Digital Organization
Before my mom passed away in 2023, we spent time together organizing her RoboForm account. She wanted me to have access to her important logins in case something happened to her.
At that time, I did not realize RoboForm offered an Emergency Access feature, which could have made the process even easier. Emergency Access allows you to name a trusted contact, such as a family member, who can access your RoboForm data if you pass away or get locked out of your account.
You select the waiting period, and if your trusted contact requests access, you still have the opportunity to deny it within that time frame. It is a thoughtful layer of security and planning that I now recommend to everyone.
We have also implemented it internally in our firm so key individuals can step in if something unexpected happens.
Setting Up Peace of Mind for My Family
At home, my wife has full access to all of our personal financial information through RoboForm. While she prefers that I handle most of the day-to-day financial details (go figure, the financial planner in the house likes to take charge), it is important to me that she can easily access any and all information if needed. She never has to search through papers or guess at passwords during a stressful time. Everything she needs is stored securely and organized in one place.

At Searcy Financial® Services, we have built our own internal structure in RoboForm to keep access organized and secure. We use shared folders that limit access based on role, such as Human Resources, Financial Planners, or Owners. This setup protects sensitive information while allowing team members to collaborate efficiently.
Of course, keeping passwords up to date is an ongoing process. But I cannot imagine our team managing hundreds of passwords without a centralized system. RoboForm has become one of those behind-the-scenes tools that makes our workdays smoother and more secure.
What I Love Most About RoboForm
One of the biggest benefits of RoboForm is that it works seamlessly across all devices. Whether I am on my computer, phone, or tablet, everything stays in sync automatically when information is updated. All I have to remember is my master password, and RoboForm takes care of the rest. It autofills usernames and passwords instantly once it is set up, which saves time and eliminates the need to constantly look things up or reset forgotten logins.
For those that are curious, RoboForm uses strong AES 256-bit encryption and a zero-knowledge security model, which means even RoboForm itself cannot view or access your data. All information is encrypted and decrypted locally on your device, ensuring your passwords remain private and protected at every step.
As of this writing, RoboForm offers a personal plan for about $24 per year and a family plan for around $48 per year, which covers up to five people. Business plans start near $40 per user annually. In my opinion, it is well worth the cost for the convenience, security, and organization it provides.
Exploring Other Password Manager Options
While RoboForm has been my personal and professional choice for years, there are several other reliable password managers that clients and colleagues have had great experiences with.
Options such as 1Password, LastPass, Dashlane, Keeper, and Bitwarden each offer strong encryption, mobile app integration, and easy password sharing for families or teams. If you are just getting started, many of these platforms offer free trials or entry-level plans that can help you find what feels right for your situation. The key is to find one that fits your comfort level with technology and provides the features that matter most to you, such as emergency access, family sharing, or business-level management.
Why It Matters
We often talk with clients about estate planning, account access, and financial organization. Password management is a natural part of that discussion. Without it, even the most carefully crafted plans can create challenges when loved ones or team members cannot access what they need.
Whether you use RoboForm or another trusted password manager, the key is to have a system in place and ensure someone you trust knows how to access it. This simple step can help protect your data, your family, and your peace of mind.
